šŸ” Key Exchange Weekend – 12th & 13th November

On the weekend of the 12th/13th November the Society will be changing the locks on all of the gates on both the Bert Road and Lion Road Sites.

This is to increase our overall security in light of the large number of former plot holders who having ceased to be members of the Society have failed to return their keys. This change will not require any additional key deposit money from plot holders.

Please note the sequence of planned events and instructions below to ensure this key exchange goes smoothly.

No plot holder should attend their plot on the morning of Saturday 12th November.

Saturday 12th November – 9:00am to 11:00am all the locks will be changed.

Saturday 12th November – 11:00am to 3:00pm – the key exchange will take place.

All plot holders who wish to continue to access the site will need to attend the Site Office on the Lion Road site between 11:00 am and 3:00pm – the Lion Road Gate will be open to allow plot holders to do this – bringing with them:

  • šŸ”‘ Their existing/old key(s)
  • šŸ†” Photographic ID
  • šŸ’³ 2022/23 Society Membership Card.

Sunday 13th November – 10:00am to 1:00pm – a second key exchange session will take place for those plot holders who could not attend on Saturday 12th (the above conditions will apply).

Subsequently any society members who have not exchanged their key will not be able to access the allotments sites after Saturday 12th November, until they have done so.

For those plot holders who cannot attend either key exchange session held on Saturday 12th and Sunday 13th November further key exchange session will be held on the following 3 weekends and details and times of these sessions will be notified to members once they have been arranged (the above conditions will apply).

Special General Meeting on Saturday 4th February 2018

This meeting was open to all plotholders discuss several changes to the rules.Ā

Also discussed was a proposal to increase the key deposit from £50 to £100, due to several keys not being returned.  This was voted against by the majority of plotholders present, so was not brought to the AGM in March.

Following discussions at the AGM on 5th March 2017, we held a Special General Meeting on 23rd July 2017, inĀ  the communal garden.

This was to discuss and vote on a change to the Tenancy Agreement involving the maintenance of the site.Ā  This was required as the required maitenance needs to be spread more fairly amongst the memers of the Society, rather than just a handful of volunteers.

It was agreed by the all attendees (with one abstention) that the Tenancy Agreement will now include a mandatory three hours of maintenance work on the communal areas of the sites by all tenants.

Tenants will have the option to sign up for one of the Monthly Working Parties where numbers allow or carry out their three hours on tasks agreed by a committee member.

Any tenant who cannot or is unwilling to complete their three hours will have a penalty charge of £25 added to their rent.
